Administrative Lawyer Corporation Yanagi Group, Yanagi Consulting Office Co., Ltd., Sakura Kotonoha Japanese Language School, Shiho-Shoshi Lawyer’s Corporation Yanagi Total Legal Office, Miraiz Co., Ltd., and Sakura Co., Ltd. (hereinafter collectively referred to as the “Company“) consider the protection and proper management of Personal Information (meaning “Personal Information” as defined in Article 2, Paragraph 1 of the Act on the Protection of Personal Information; the same shall apply hereinafter) of all related parties, including its clients, business partners (including affiliated partners and contractors), executives, employees, and job applicants of the Company (hereinafter collectively referred to as “Clients, etc.“), to be an important social responsibility, and establish the following privacy policy to handle Personal Information appropriately.
1 Compliance with Laws and Regulations, etc.
The Company shall comply with the Act on the Protection of Personal Information and other related laws, regulations, guidelines, etc., and handle Personal Information appropriately in accordance with this policy.
2 Acquisition of Personal Information
The Company shall acquire Personal Information through appropriate and lawful means within the scope necessary for business purposes.
3 Purpose of Use of Personal Information
The Company shall use acquired Personal Information only to the extent necessary to achieve the following purposes and shall not use it for any other purpose without the consent of the individual or unless provided by laws and regulations. Individual Numbers shall only be used for purposes specified by law and regulations, etc.

To solicit, sell, and provide (perform) the Company’s services;
To contact Clients, etc. for after-service support (including responding to inquiries and handling payments);
To manage transactions with Clients, etc., for purposes such as sending materials, etc., distributing information, and conducting surveys;
To manage payments and operate other tasks of client management (including verification at the time of transaction);
For the Company’s internal marketing, market research, new service development, and service improvement;
To prevent troubles and fraudulent use related to the Company’s services as well as recurrence of them;
To improve the Company’s websites and services, etc.;
To mediate and transfer Personal Information to partner companies, etc. with the consent of the individual;
For the Company’s internal human resources, labor management (including recruitment selection activities, health management of executives and employees, and use as emergency contacts) and related procedures;
To respond based on laws and regulations, as well as notices, guidance, etc. of government agencies, etc.; and
To perform tasks incidental to each of the above items.
4 Outsourcing the Management of Personal Information
The Company may occasionally outsource all or part of the following business operations and provide the outsourced parties with Personal Information necessary for the performance of the business operations. When outsourcing, the Company shall exercise necessary and appropriate supervision over the outsourced parties, including supervision of subcontractors;
Operations incidental to the performance of the Company’s services (mainly administrative, back-office, and system operations);
Operations related to the printing and shipping of documents, etc. to be sent to Clients, etc.;
Operations related to professional advice regarding legal, accounting and tax matters, etc. and administrative procedures, etc.;
Administrative operations related to the management of the Company’s business (mainly preparation and entry of, and application regarding accounting books);
Operations related to the management and maintenance of information systems; and
Other operations necessary for the Company’s business.
5 Provision of Personal Information to Third Parties
In principle, the Company shall not provide Personal Information of the Clients, etc. to any third party unless it has their consent or it is provided by law and regulations, etc.; provided, however, that it may provide Personal Information of the Clients, etc. to parties outside the Company without their consent in the following cases: when the Company outsources the handling of Personal Information to the extent necessary to achieve the purpose, in the event of a merger, etc., and when the Company jointly uses Personal Information with certain parties as provided in “6. Shared Use of Personal Information” below. Furthermore, the Company shall voluntarily cease the use of Personal Information held by it upon request from the individual.
6 Shared Use of Personal Information
The Company may share Personal Information in order to provide higher value-added services, etc. while leveraging the expertise of each group company.

Name, address, date of birth, contact information (e.g. phone number, email address), age, gender, family composition, qualifications held, affiliation (e.g. place of employment, department, job title), transaction information (e.g. history and details of the business with the Company), transaction needs, inquiry history, and other information regarding the Client, etc. as well as information regarding opinions and complaints by the Clients, etc.

– To comprehensively propose, guide, and provide optimal products and services tailored to needs of Clients, etc.;
– To market, research, and develop various products and services, etc.; and
– To carry out management and internal control tasks, such as compliance, risk management, and human resources management for the entire group.

7 Disclosure, Correction, etc. of Personal Information
If an individual or his/her agent requests disclosure, correction, etc. (i.e. correction, addition, deletion), or suspension of use, etc. (i.e. suspension of use, erasure) of Personal Information, the Company shall verify the individual’s identity with a copy of a certificate of residence, etc., and if the Company deems it appropriate, it will respond by disclosure etc. of the Personal Information held by it to the extent that it does not interfere with its business operations. If the Company is unable to comply with such requests, the Company shall explain the reasons to the individual or his/her agent. For specific procedures for these requests, please contact “11. 8 Safety Management Measures for Personal Information
The Company shall collect, use, provide, store, and dispose of Personal Information appropriately, and establish and adhere to internal regulations, etc. governing these matters. Furthermore, the Company shall be constantly aware of the importance of protecting Personal Information, and educates, trains, and supervises, etc. those who handle Personal Information (including employees of the Company’s contractors and subcontractors) in order to prevent unauthorized access to Personal Information, or its loss, destruction, alteration, leakage, etc., and also shall implement reasonable security measures. If a problem with security measures is found, the Company shall promptly take corrective measures according to the circumstances.
9 Handling of Personal Information on the Websites (Use of Cookie, etc.)
The Company may collect and use cookie information, etc. of the Clients, etc. to provide better service to them. The Clients, etc. may disable Cookie by changing their web browser settings; provided, however, that disabling cookies may prevent them from using some of the Company’s services.
The Company uses Google Analytics, an access analysis tool provided by Google, for its websites. When it uses Google Analytics, Google collects, records, and analyzes browsing history of the Clients, etc. on the Company’s websites based on Cookie issued by the Company, and the Company receives the analysis results to understand the Client, etc.’s access situation to its website. Such information collected, recorded, and analyzed by Google Analytics does not include information that can identify a specific individual. Furthermore, such information is managed by Google in accordance with its privacy policy (*). The Clients, etc. may stop the collection of their information by disabling Google Analytics by changing the settings of web browser.

In addition to the above, for purposes such as measuring effectiveness of marketing and other advertisements and analyzing access, the Company may use third-party’s services, obtain information, etc. of the Clients, etc. regarding website access history and usage status, and use such information, etc. by linking and comparing it with Personal Information held by the Company.
10 The Management System for Protection of Personal Information
The Company shall establish the management system, etc. for protection of Personal Information, and all executives and employees shall thoroughly implement such system, and the Company shall regularly review the systems and strive for their continuous improvement. The Company also shall establish rules, etc. to be complied with by its executives and employees and shall ensure that they are fully aware of these rules through appropriate education and training.
