What is the new reservation system for receiving the results of residency-related applications?

It is an online reservation system provided by the Immigration Services Agency of Japan to ease congestion at the service counters. Through this service, you can book in advance the date and time of your visit to the counter when receiving the results of applications related to your status of residence or completing related procedures. The system has been in operation since March 2025 (Reiwa 7).

Main procedures covered

The main procedures you can book through this system are as follows:

1.Issuance of residence cards (pickup by appointment)

Receiving a residence card issued following the approval of an application such as change or extension of status of residence, or permission for permanent residence.

2.Issuance of Certificates of Eligibility

Receiving a Certificate of Eligibility used to invite someone from overseas.

3.Issuance of visa stamps (endorsements in passports)

Procedures to have a visa stamped in your passport after your application has been approved, etc.

How to use the system

  1. Access the reservation website

    • Accessible only from within Japan.

    • Supports multiple languages (Japanese, English, Chinese, etc.).

  2. Register your email address

    • Click the link sent to your email to access the site.

  3. Enter basic information

    • Residence card number of the person making the reservation

    • Applicant’s name, application receipt number, etc.

    • You can also make a reservation for multiple people (up to 5 persons).

  4. Select the date, time, and location

    • A calendar shows available reservation dates for the next 30 business days.

    • Select your preferred office (regional bureau, main office, etc.) and the desired date and time

  1. Confirmation and completion of reservation

  • After checking the details, submit the form → A reservation notice will be sent to your registered email address.

  1. Cancellation / changes

  • You can cancel or change your reservation until 11:59 p.m. on the day before your visit.

  1. On the day of your visit

  • Bring the reservation email screen or a printed copy.

  • At regional bureaus and the main office, line up in the “Reservation Lane” (there are signs).

 
  • Cancellation deadline for reservations: Until 11:59 p.m. on the day before your visit.

  • If someone else collects the documents on your behalf (proxy): A letter of authorization and identification documents are required.

  • Preferred dates and times may be crowded: We recommend making your reservation as early as possible.

  • This system is only for reservations: You still need to submit your application itself separately, either online or at the counter.
